General Information for New Appointees
1. Acceptance of Appointment
Candidates are required to submit the following documents to the Human Resource Division within one (1) month after receiving the offer letter:
(1) Letter of Acceptance of Appointment (green form)
(2) Declaration form (Appendix E)
(3) Medical Check Up Form (UM-PT03-PK02-BR005-S-2)
2. Immigration Requirement
(1) If the candidate is not Malaysian citizen or permanent resident, he/she must obtain Employment Pass or Professional Pass from the Malaysian Immigration Office. The necessary documents must be sent to the Human Resource Division:
(a) Photocopies of your passport from 1st page to the last page;
(b) Four passport size photographs;
(c) Letter of confirmation from current employer; and
(d) Details of remuneration and emolument received.
(2) If the appointee is accompanied by spouse and children he/she has to apply for a Dependant’s Pass for each of them. The University will assist the appointee regarding his/her application for the Dependant Pass for the family. The appointee is advised to send the following documents:
(a) Photocopies of passport from 1st page to the last page (each family members)
(b) Two passport size photographs (each family members)
(c) Birth certificates for child/children - endorsed by Malaysian Embassy/Consulate
(d) Marriage certificate – endorsed by Malaysian Embassy/Consulate
(3) Citizens from Commonwealth Countries (except for Bangladesh, India, Pakistan, Sri Lanka and Nigeria) do not require visa to enter Malaysia. In any event, the appointee is advised to check on the http://www.imi.gov.my/eng/perkhidmatan/im_Visa.asp . The visa will cost MYR80.00 to MYR110.00 according to the country.
(4) Please take note that if the appointee come directly to Malaysia without approval of visa, he/she may be required to pay a sum of MYR500.00 (USD132) for the Journey Performed Visa (JP VISA) for each person, over and above the normal fees for Employment Pass/Professional Pass/Dependant Pass.
3. Travel Arrangement
(1) Please do not make firm travel arrangement to Malaysia to take up the appointment at the University until :
- The Employment Pass/Professional Pass application has bee approved by the immigration authorities; and
- Other pre-employment conditions (such as full medical/dental practitioner certificate) have been met.
(2) Travel assistance granted is normally by the most economical means and direct route. The appointee may purchase his/her own ticket to Malaysia and the University will reimburse the amount of the air ticket upon arrival at the University.
(3) Getting to the University of Malaya - The University of Malaya is easily accessible by :
ERL from Kuala Lumpur International Airport to KL Sentral  (MYR35.00)
LRT from KL Sentral to University LRT Station (MYR1.80)
Taxi direct from KLIA (MYR70.00) or KL Sentral (MYR6.00-MYR10.00)
Bus direct from University LRT Station (MYR1.00)
1. Transit accommodation
The University will arrange for transit accommodation (3 night’s stay) at the nearest hotel. The University will bear the cost of transit accommodation according to the term set out in the offer of appointment.
2. Reporting for Duty
Upon arrival in Kuala Lumpur, the appointee should:
(1) Report to the Head of Department as soon as practicable;
(2) Contact the Human Resource Division regarding endorsement of the Employment Pass/ Professional Pass as well as the Dependant Pass on the passport(s), reimbursement of air ticket and medical check up, and other related matters.
(3) The appointee is required to submit the following documents to the Human Resources Division:
(a) A copy of bank account and request form
(b) Income-tax Form
(c) Letter of Undertaking
(d) Declaration of Asset Form
(e) University Staff Card Form
3. Housing
Depending on the terms of appointment, the appointee is eligible to apply University housing through the Director, Department of Development and Estate Management.
4. Income-Tax
All appointees are subjected to the existing Malaysian Income-Tax Law. Tax are paid to the Malaysian Inland Revenue Board (LHDN). Information on the tax rate and payment modes can be obtain from http://www.hasil.gov.my and Guidelines for Expatriates Under Employment in Malaysia.
5. Finance
Salary is paid by the Bursar’s Office towards the end of each month. It’s normally credited to staff bank account.
